QuickBooks Online
Billed the day it finishes, chased until it's paid, and the books in step with the job board.
What it does with QuickBooks Online
It connects to your QuickBooks Online and reads invoices, payments, overdue balances, supplier bills and job costs. It matches finished jobs against invoices and finds the work that was never billed. It drafts invoices from the quote plus approved extras, and a reminder for every overdue invoice, skipping anyone who's paid, replied or promised a date. Every month, billed against collected with the gap by customer. It codes supplier bills to the right job and flags a cost that wasn't on the estimate. Your bookkeeper still closes the month.
Every evening, list the jobs we've finished that have no invoice in QuickBooks.
Every Monday, what's overdue, what got paid last week, and who promised and missed.
For every overdue invoice with no dispute, draft a reminder in my voice with the invoice number and amount.
Every month, what we billed against what we collected, gap by customer.
What it reads, what it writes
- Refreshes
- Every day, and the moment something changes where the system tells us.
- Cleans
- Duplicates, blanks and conflicts in what it reads, logged with before and after.
- Who wins
- QuickBooks Online stays your system of record for what it holds. It never overwrites a record you changed by hand without telling you.
Questions
- Will it send an invoice or a reminder on its own?
- An invoice is shown to you first, every time. A reminder goes out only after you've approved the first, and you can tell it to keep asking every time if you'd rather.
- Does it replace my bookkeeper?
- No. It does the finding, the drafting and the matching. Your bookkeeper still closes the books, with cleaner records to close.
